Research Ops Coordinator
This person must be open to supporting off hour studies (with notice). This person should be comfortable going onsite when needed.

Research Operations:
• Participant recruitment – End-to-end recruitment of participants for ~2-3 studies monthly, develop and maintain collaborative recruiting with operations vendor partners, work with researchers to determine criteria and timeline, coordinate with internal teams to identify research participants, monitor progress towards recruitment targets, manage communications, scheduling (e.g., via appointment calendars), reminders, NDAs, incentives, and post-study follow-ups, pay and track study incentives.
• Research space management – Ensure meeting rooms are reserved when needed for sessions, maintain up to date knowledge of access requirements for sites, and manage access & badging requests for internal and vendor-managed sites accordingly.
• Fieldwork Calendar – Create calendar events and set up livestreams for research sessions, manage stakeholder interest in joining research sessions, follow up with admin teams, maintain correct dates and details.
• Fieldwork Support – Provide research day-of support, including participant correspondence, and note taking during remote research sessions as needed.
• Documentation – Contribute to internal research operations documentations, updating or developing new tools to improve efficiency. Analyze screener response rate to optimize research strategies and improve participant engagement. Track participation in research studies to implement cooling down period (if applicable). Track incentives to ensure participants stay under the tax reporting threshold (if applicable). Develop creative recruitment strategies leveraging tools to attract diverse participants.
• Communication – Provide concise daily updates during active study recruiting; create and manage easy-to-read Sheets to track recruiting efforts, scheduled research sessions, and NDA completion.
• Scheduling – Support in finding open time slots for research shares, workshops, or working sessions; collaborate with xWF admins to align availability if needed.

Contract Management:
• Assist in submitting contracts in Ironclad.

Knowledge Management:
• Effectively use the team’s internal Drive folder structure to organize artifacts.
• Collate and re-title research session recordings, upload to Recall, ensure correct access sharing.
• Create video clips with salient quotes (per guidance from researchers) and upload to shared Drive folder per study.

 



Estimated Min Rate: $35.00
Estimated Max Rate: $45.00/hr+. Depends on work experience
