Institutional Advancement Coordinator
Boston, MA- ONSITE
12 month W2 contract to permanent
Pay rate: $29-34/hr - Depending on Education and Experience


Summary:
Development Associate (support role) needed to assist various Development units.

Administrative Support

  • Provide key support and management of logistics to development staff members in CAMD, Bouve, and CSSH.
  • Manage calendars, make travel arrangements, conduct outreach to prospective donors for travel visits.
  • Prepare materials for events and meetings, prepare research and briefing materials for meetings and events with donor prospects.
  • Assure that prospect data is accurate and up-to-date
  • Draft follow-up correspondence, debrief others on next steps, record results of meetings with donors and prospects in database, prepare gift documentation.
  • Reconcile travel expenses and monthly departmental budgets.

Communication
  • Manage the publication and mailing of newsletters, invitations and other materials.
  • Compose, proofread, edit, and prepare correspondence, reports, posters, and other materials.
  • Coordinate with the Marketing and Communications team to build and update the alumni and giving presence on the website and to create marketing strategies for events and campaigns using email, the website, and social media.
  • Support stewardship programs, including drafting acknowledgement letter templates and seeing to the regular acknowledgement of gifts.
  • Ensure timely correspondence after meetings and events with donor prospects, faculty and staff.
  • Coordinate mailings as needed.
  • Serve as frequent contact with alumni, donors, prospects, and volunteers.
  • Act as a liaison with central Advancement and other units across the university.

Project and Event Management
  • Take the lead on various projects and events throughout the year, organizing all logistics to ensure successful completion; including tracking responses and event production work.
  • Collaborate with staff in various departments across the colleges, Development, University Special Events and/or Office of Alumni Relations on university-wide events.
Database Management
  • Lead effort to assure that key contacts, correspondence, and strategies are entered in relationship management software for major and principal gift prospects.
  • Design and extract reports to oversee and monitor strategic activity with prospects and donors.
  • Monitor and implement systems to assure strategic follow up by senior administrators and faculty.
