Entertainment Admin/Executive Assistant needed for a contract opportunity with Yoh’s client located in Culver City, CA.

Duration: Estimated 1 month (Trial) – Potential temp to hire.
Location: Culver City, CA 90232
Schedule: In office
Pay Rate:$34 per hour (Max)
Target start date: Estimated Sep 15th
Reports to: Executive Producer
 
Notes

  • OT will be required for this role. The candidate needs to be flexible with hours.
  • The manager is Bi-Coastal (CA and NYC). The manager is in California from September to May and in NYC from May to August.
Ideal experience
  • Searching for someone with an entry level of 1-2 years of experience.
  • Experienced supporting a busy C-Level desk.
  • Skilled with calendar management, handling logistics for various meetings and staying on top of travel & expense reimbursements.
  • Can be a former receptionist, assistant, etc.
  • Currently searching for a seasoned Administrative Assistant to support the Executive producer.
  • The ideal individual will be able to multi-task at the highest level, be able to pivot and flex as situations may arise and quickly change, while staying calm under pressure.
  • Must be highly detail-oriented and most importantly, act as an extension of the Executive to internal/external partners. 
Job Description
  • Provide daily administrative support for the Executive Producer.
  • Coordinate and manage complex scheduling and calendar management.
  • Ensure all internal/external contacts are up-to-date and maintained across all devices and communication methods for Executive.
  • Distribute daily schedule to the Executive and discuss any changes or notes for the day.
  • Stay abreast of daily calendar activities and update items, in a timely manner, based on received emails, phone calls & direct notes from the Executive.
  • Communicate with internal/external partners regarding Executive’s schedule changes and coordinate accordingly.
  • Answer calls and monitor email accounts for incoming correspondences.
  • Schedule and manage all logistics for internal and external meetings, including preparation of documents, presentations and any technical needs.
  • Create, process and track expense reports and reimbursements.
  • Monitor pending approvals for expense reports, vacation approvals and travel requests from Executive’s direct reports.
  • Manage and coordinate all travel/entertainment arrangements.
  • Create and maintain shared documents, trackers for various teams and productions.
  • Complete Ad-Hoc projects and tasks as assigned, including personal needs
Skills
  • Excellent computer skills; specifically, Word, Excel and working knowledge of PowerPoint
  • Strong communication, interpersonal and organizational skills
  • Must be able to proactively troubleshoot and be resourceful
  • Must be detail oriented and organized to perform efficiently
Ability To:
  • Identify work priorities and requirements up-front and make timely decisions
  • Demonstrate the ability to work with all levels of management.
  • Demonstrate initiative, professionalism and confidentiality.





Estimated Min Rate: $30.00
Estimated Max Rate: $34.00
