Travel Coordinator/Administrative Support

McKinney, TX (Hybrid)
  • Responsible for travel coordination and administrative support services related to corporate travel logistics and acquisition activities.
  • Focus on organizing information, facilitating communication, and supporting operational transitions.
  • Serving as a point of contact for internal travel-related inquiries.
  • Gathering and organizing traveler information.
  • Compiling and maintaining accurate travel tracking spreadsheets.
  • Coordinating group travel name lists for various teams for acquisitions
  • Submitting organized traveler information to designated external travel agencies or vendors.
  • Assisting with communication finalized itineraries and confirmations to travelers.
  • Communicating schedule updates or changes as information becomes available with the acquisition integration manager and the internal travel coordination teams.
  • Following up with travelers who have not booked to ensure they are still traveling and assist where needed
  • Coordinating attendee lists and travel-related logistics for large group travel.
  • Preparing and distributing travel reminder communications.
  • Assisting with logistical coordination for acquisitions.
  • Assisting with administrative tasks related to new branch acquisitions.
  • Supporting setup of operational accounts for newly acquired locations (e.g., vendor portals, shipping accounts, utilities coordination, etc.).
  • Preparing, organizing, and shipping supply or onboarding materials to branch locations.
  • Maintaining acquisition tracking documentation and status updates.
  • Facilitating communication between internal departments regarding onboarding milestones.
  • Accurate and organized tracking documentation.
  • Timely communication with designated company contacts.
  • Completion of agreed-upon administrative and coordination tasks within established timelines.
  • Professional handling of sensitive and confidential information.
 
Requirements
1–3+ years of experience providing administrative, coordination, or operational support services.
Experience supporting travel logistics or multi-location operations preferred.
Strong organizational and documentation skills.
Excellent written and verbal communication abilities.
High attention to detail and data accuracy.
Proficiency in Microsoft Office applications (Excel, Outlook, Word).
Ability to manage multiple projects concurrently.
Familiarity with travel or expense management platforms (e.g., SAP Concur or similar systems) is beneficial but not required.
