Half the candidate's time will be spent supporting a senior leader and a small department with schedule management, task coordination and other administrative support. The other half of the candidate's time will be spent supporting administrative operations for an environmental lab, including customer service support, business tasks and helping document existing processes.
 
JOB DESCRIPTION

This role will be responsible for supporting our environmental lab, as well as another small department, with administrative and operational support. This role is perfect for someone who thrives on organization, efficiency and communication. This role will require splitting time between two different Austin locations on a set schedule. 

General Overview:
At an intermediate level, supports business operations by performing a variety of administration or operational support activities. This position utilizes knowledge and experience in own discipline but is still building higher-level knowledge and skills. Receives a moderate level of guidance and direction from supervisor, manager and/or more experienced colleagues.
 
This position provides department-specific support within assigned areas, which may include any of the following:

Serves as a resource to department and other internal staff on various aspects of department operations.  
Assists department in activities such as preparing reports, budgets, and correspondence.
Creates and maintains clear and accurate departmental procedures documents. 
Supports departmental initiatives. 
Identify issues or opportunities for improvement in proceesses and makes recommendations to resolve them.
Performs analysis and/or research in support of business operations. 
Coordinates with other departments and serves as a primary point of contact for inter-departmental activities.
Provides information and basic training to department staff related to systems, processes and projects. 
Monitors and maintains department records such as budgets, work plans, schedules, and projects. 
Supports operations and leadership by procuring and inventorying supplies, reviewing expense reports, time sheets, Procards, and other departmental activities.  
Performs billing, collections and accounts payable/receivable functions. 
Responds to requests for information concerning department operations and/or refers requests to appropriate staff members.
Maintains information and stores and uses data through various software programs, spreadsheets and databases.  Coordinates and schedules external and internal meetings, training activities, seminars, etc. 
May make travel arrangements for department staff, including transportation and hotel arrangements, as directed.
May manage a department or corporate program.

Minimum Qualifications: Four or more years of administrative, business or operations experience or two years of experience plus a 4year degree in a relevant field. Drivers license to support independent travel is required.

Ability to interact with customers in a professional manner

Work Environment:  
Work hours are primarily spent in an office environment. 

Physical Demands: Work involves frequent finger/hand manipulation in using a keyboard and mouse . Work may involve lifting and carrying up to 25-50 pounds less than 20% of the time . Work may involve pushing and pulling up to 25 pounds less than 20% of the time.
