This role operates primarily from an office trailer on an active job site and plays a critical part in keeping project operations running smoothly. The ideal candidate thrives in a fast-paced environment, communicates effectively, and is comfortable working in a dynamic construction setting.
Key Responsibilities:
The Construction Administrator provides administrative support to Project Managers, Supervisors, Engineers, and Field Management while maintaining confidential project documentation. Responsibilities include assisting with purchase orders, invoice coding, requisitions, and expense tracking, as well as preparing monthly expense reports. The role also coordinates travel arrangements for individuals and groups and supports the planning and execution of training sessions and safety events.
Additional responsibilities include managing incoming calls, visitors, deliveries, and mail at the project site; preparing meeting agendas; recording and distributing meeting minutes; maintaining organization of the office trailer, supplies, and equipment; coordinating facility scheduling and catering for meetings and project events; and creating vendor requisitions and receipts as needed.
Qualifications:
A high school diploma or equivalent is required. A Bachelor’s Degree in Business, Communications, Accounting, or a related field is preferred but not required. The successful candidate will demonstrate strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. Strong written and verbal communication skills are essential, along with proficiency in Microsoft Office applications including Word, Excel, Outlook, and PowerPoint. A valid driver’s license is required.
Experience with systems such as PeopleSoft, Box, or similar platforms is preferred. Previous experience supporting construction or field operations teams is also advantageous.
Skills and Work Environment:
The ideal candidate will demonstrate a high level of accuracy when handling large volumes of data, strong problem-solving and decision-making abilities, and the ability to work both independently and collaboratively within a team. Adaptability and responsiveness in a changing work environment are important for success in this role.
This position is based in a field office environment (office trailer) at an active construction site. Personal protective equipment (PPE) is required when entering field areas. Intermittent travel may be required. A strong attendance record and professional work ethic are essential.?
